Why
save space when disks are so cheap?
It's
not about the disk space. It's about service times, backup times and contingency,
helpdesk questions, restore requests, etc.
If
you are using Exchange Server, you know how hard it is to keep user mailbox stores under control. You can use quotas, but that comes at a cost. A cost of your time spent managing quotas when the users exceed them and forcing your users to manage their mailbox space. If you archive old e-mail, the users complain that they need access to old e-mails. The alternative is to archive mail to PST files, but they have their own set of problems and limitations.
The Exchange Server nightmare:
It is Friday afternoon at 4:00 pm and the phone starts ringing. People cannot access their e-mail. You look at the Exchange Server System Manager. A mailbox store will not mount. You look and the event log and see

Files\Exchsrvr\MDBDATA\priv1.edb has reached its maximum size of 16383 MB. If
the database cannot be restarted, an offline defragmentation may be performed to
reduce its size.
You modify the registry to temporarily increase the size to 17 GB as per the Microsoft Exchange Knowledge Base note. Somehow the registry gets corrupted and the machine will not reboot. Looks like it's going to be a long weekend.
A Better Way:
You install and run ExchangeCompress. After processing the mailbox store goes from 15 GB to 10 GB. Not bad. You change some of the settings to offload attachments to files, clean up the deleted items folders and run it again. The store size goes to 5 GB. Now you set it up on a schedule to run weekly.
